Structure of Formal Business Letter

Business letters are a formal written document sent from one company to another company or from a company to its business partners, clients, employees, and other stakeholders. Business letters are also used by individuals for professional correspondences.

What is included in a formal business letter?

Every section should be in line with appropriate format, beginning with your contact information and the recipients, the letter body, the closing, and finally your signature.

Your contact information must include your name, your job title, your company / organization, your address including zip code, your phone number, and your email address.

On top of the letter, you must write the date that you wrote that letter. Next to it is the recipient’s contact information. This must include their name, their job title, their company, their company’s address including zip code.

The salutation must be kept in a formal manner. For example: “To Whom it May Concern” if you are not sure specifically whom you are addressing, or “Dear Mr./Mrs./Ms. (last name) if you know the person you are addressing.

The next part is the body. Be sure to use single spacing and add space between each paragraph, after the salutation and before the closing. The boy of formal business letters should use left margin writing.

In the closing section, you should keep it to two sentences to repeat the purpose of your letter. And lastly, place your signature on the end of your letter.
