The Use of Employee Exit Checklist

When an employee decided to resign from a company, certain protocols need to be done before they legally “exit” the company. Preparing an employee exit checklist can be a good thing for the HR Department. It is to ensure that they have given back all the company’s assets that were lent to the employee during his/her working time. Many things can be included in the checklist’s company property, such as name badge, uniform, company vehicle, accessories, office tools, and many more. Other than all the stuff you need to collect from the employee, you can also add talking to the employee into the checklist to ensure that they are doing good and well.

The checklist itself will be able to help the HR admin to make sure that everything is ticked off before the employee is finally and legally exited the company. A few other things that can be included in the checklist include, the exit interview form, updating record of the employee in the company’s database, remove the employee’s access from the company’s program, make sure all the paperwork is all done for the leaving employee, and to distribute their final paycheck. This is all to ensure that the company does not leave anything behind while the employee is on their last day too.

The employee exit checklist itself might not be finished in 1 day. However, when they send out their resignation letter on their last day, they usually have 1 month (30 days’ notice). With that being said, there are a lot of times where the checklist could be finished off before the employee exit the company for good. Ensuring all the boxes are all ticked can be a good SOP for the HR admin to properly send off the employee that is exiting the company. The original checklist can also be made a template for future use and also to make it easier for the HR admin to use for the next employee that is going to exit the company.

By turning the original checklist into a template, all they have to do is print it out, edit the name, employee number, and other necessary things without having to change the content of the checklist itself. It will save the HR Department so much time too. There are a few things that can be asked when doing the exit interview with the employee. You will have to make it sound like you are hearing their story and not sound like you are interrogating them too.
